AI at Bienaro – transparently

We use artificial intelligence for a few specific things and we are happy to say exactly which ones, with what data – and how everything works even if you switch AI off.

Version 1.0, effective from 5 October 2026. This page fulfils the information obligation under Art. 50 of Regulation (EU) 2024/1689 (AI Act); we will publish any changes to it.

What AI does here

  • It suggests your website texts – the headline, the subheadline and the introduction of the business (“About us”). It runs only when you ask for it yourself: with a button in the setup guide (a draft text about you that you can rewrite or delete) and in the website editor.
  • It recommends a look – it chooses one of our ready-made templates; it cannot create anything outside them. It changes the look only when you choose to regenerate the whole website in the editor. For a business without Rytmus it also writes one sentence on why one of the premium templates would suit it – this is an offer and does not go on the website.
  • It translates your website texts and price list into the website’s other languages (Czech, Slovak, Austrian German, English, Vietnamese) – the introduction, “About us”, the announcement bar, the FAQ and the names and descriptions of services. It runs only when you ask for a translation yourself with a button in the website editor, in Services or in the website language settings, and it fills in only empty fields. The result is an ordinary field: you can rewrite it at any time.
  • It reads your existing page when you create your business – when you enter its address, it extracts the name, industry, address, contact details, the text about the business, services with prices and durations, and opening hours, if we don’t find them directly in the page’s markup.
  • It prepares a tailored website preview – when we prepare a preview of the future website for a business that is considering Bienaro and doesn’t have an account with us yet, AI suggests the texts and extracts the price list from public sources.
  • It answers in the administration help – the floating “?” in the bottom right corner on a computer, the Help button in the header on a phone, and the Help page. It is a chatbot: the window and every answer say that artificial intelligence is answering, only from the texts of our help, and that it can make mistakes. It has no automatic access to the database of clients or bookings – it receives only the text of your question and our help. With every answer you get a link to the help topic where you can check it.

And that is the complete list. Artificial intelligence does nothing else at Bienaro – it does not book appointments, does not write e-mails to your clients, does not make decisions about people. No emotion recognition, no biometrics. The interface and help texts in languages other than Czech were machine-translated in advance; where that is the case, the page says so with the sentence “Machine translated” and the Czech version is authoritative. No model is called at run time for this.

What is not AI: when Rytmus suggests the next appointment to a client, it calculates it with a fixed rule – from the service interval and the data of their previous visits to that business. No model evaluates this and nothing further is inferred about anyone. The restriction of online bookings after repeated no-shows is also a rule; how it works and how to object to it is described in the privacy policy.

Which model and whose

Everything above is computed by the Claude language model from the external provider Anthropic, called via an API. We do not train any model of our own, and under Anthropic’s commercial terms data from the API is not used to train models.

What data goes into AI

When AI writes website texts, we send the model only information about your business and its website:

  • the name of the business,
  • the industry (hairdresser, barber, massage…),
  • the names of your services,
  • the number of people in the team (so the text speaks either for one person or for a team),
  • the texts you currently have on the website (headline, subheadline, “About us”) and the chosen template – so that the new draft doesn’t repeat them,
  • a few sentences about yourself, if you write them in the form,
  • your plan and whether you have a cover photo (the template is chosen based on this), and the website language.

When importing a page: when you enter the address of your existing page while creating the business (your own website or a booking page with another service), we send the text of that public page to an external model to extract the name, contact details, the text about the business, services, prices and opening hours. You do this on your own instruction and it is your own business content. We cut the reviews section out of the text beforehand if we recognise it, and replace the signatures under the reviews with a placeholder; other names on the page (for example yours or your team members’) may remain in the text. Most of the information is read directly from the markup on the page – the model is asked only when something is missing.

For a tailored website preview the model receives only what is public about the business or what the business itself gave us: the name, industry, town, services with prices and possibly the text of its public page. We cut the reviews section out of the text beforehand, if we recognise it, and replace the signatures under reviews with a placeholder. The preview itself expires when its validity ends (after 7 days at most).

For translation only the texts you have on your public website go out – the introduction, “About us”, the announcement bar, the FAQ and the names and descriptions of services. Along with them the model receives the source and target language and the industry of the business, so the text sounds local. There is nothing about clients in it.

In the help the model receives only the text of your question and the texts of our help – the same ones you can read yourself on the Help page. We do not add your name, e-mail, business name, bookings or client data to the question. But the model will see whatever you write in the question, so do not write names, phone numbers or other client data in it – the help window points this out too. The model receives no more than 30 questions per hour per business.

AI features have no automatic access to the database of clients or bookings: we do not send names, phone numbers, e-mails, bookings, notes or reviews of your clients from it to the model.

How long we keep it

  • Help chatbot questions: from 8 October 2026 we no longer store the text of the question or the answer. What remains, without the user and only linked to the business, is the length of the question and the answer, whether an answer was found, which help topics it used and where in the administration it pointed to. We keep these records for 3 years, after which only a monthly count remains; older records with text from before 8 October 2026 run out within the same period. Operational chat figures (response time, model usage, topics used, status and lengths; plus an internal account identifier used only to count distinct users) are kept without any text for 90 days. A shortened form of the search query (at most 60 characters, without contact details) is additionally kept for 90 days in operational analytics – we use it to improve the help.
  • A new generation of website texts in the editor is recorded (what went in, what came out and which model), so that it can be documented afterwards. We keep the record as long as the business uses Bienaro, and it is deleted together with the business’s data after it is closed. For a translation we record only that it took place – the language, the place and the model, without the texts. The few sentences about yourself that you write in the form are saved with the business so that they are there next time.

A human always has the last word

AI only prepares a first draft. You see all texts in the editor next to a live preview of the website and can rewrite them in your own words at any time – both the original and the translated ones. A new generation runs only after you explicitly confirm that it will overwrite the existing texts – and it never changes contact details or photos.

The help doesn’t decide anything either: an answer is at most a few sentences and a link to the topic where you can read it in full. If you are not sure – especially about money and contracts – write to us and a human will answer.

It works without AI too – entirely

  • Bookings, the calendar, reminders and e-mails run entirely without AI – they are ordinary forms, databases and templates.
  • The editor has a full manual mode – you click together and write texts, colours, fonts and sections yourself; AI never has to run.
  • Prepared texts per industry – when AI is not available, you get a text prepared for your industry instead of its draft. Creating a business never waits for AI.
  • The help works without the model too – when AI is down, the chatbot turns into a plain search of the topics and tells you that the artificial intelligence did not answer. All topics can still be read on the Help page.
  • Translation is voluntary – without it the website stays in the business’s default language and nothing breaks.

Labelling AI content

You learn right away that you are talking to AI. The help chatbot says so as the first sentence in the window, in the input field itself and under every answer – including that it can make mistakes. That is what Art. 50(1) of the AI Act requires; it is the only place at Bienaro where you chat with artificial intelligence, and it is meant for you, not for your clients.

Website texts are editorially in the hands of the business owner – they see them in the editor before publication, can edit them and are responsible for what they leave on their website. The same applies to the translation. This is not content that would pass itself off as someone else’s work, nor an imitation of a real person or event, so the obligation to label deep fakes under Art. 50(4) of the AI Act does not apply to it. Articles on our blog written with the help of AI carry a visible note “Připraveno s pomocí AI, zkontrolovala redakce Bienaro.” (“Prepared with the help of AI, reviewed by the Bienaro editorial team.”)

Bienaro is not the provider of the AI model but its deployer – the Claude model is developed and provided by Anthropic, and the obligations of a general-purpose model provider rest with them. For the help chatbot, on the other hand, we are the provider of the AI system itself: we build it from a third-party model and our help and offer it to you under our own name, so the obligation to tell you that you are talking to AI is ours. All our features fall into the limited risk category – it is an obligation to inform, not an authorisation. We do not operate any feature from the list of prohibited practices (Art. 5) or from Annex III (high risk): we do not evaluate people, do not recognise emotions, do not do biometrics.

Illustrative photos on our website are created with the help of AI (the Gemini model from Google). They carry the machine-readable SynthID watermark, by which their origin can be verified even after downloading, and we point them out with a visible sentence in the website footer. They are not pictures of specific businesses, people or jobs – we never pass them off as photos of a real business.
