How much does a booking system for a hair salon or another business cost?
With us, 0 Kč for the free Kalendář plan and 399 Kč a month (3,990 Kč a year, i.e. 333 Kč a month) for the paid Rytmus plan. Kalendář is a website with a booking calendar with no limit on the number of bookings or clients; Rytmus adds a team, a waiting list, your own domain, gift vouchers and offers of next appointments. Rytmus includes 2 people, each additional one is 100 Kč a month, at most 990 Kč a month in total; 50 SMS a month are included and more are topped up in packs at 1.40 Kč to 1.66 Kč per SMS (a long message counts as several SMS). Each location has its own account and its own plan. Final price, we are not VAT-registered. There is only one paid plan — no three tiers to guess between. Nothing switches on by itself after the trial – you only start paying once you order Rytmus yourself. The price list valid on the day of your first payment applies to you for 12 months from that payment.
Can you have your own website and online booking for free?
Yes, the Kalendář plan is 0 Kč and nobody asks for a card when you sign up. For free you get a website at your-name.bienaro.com, a booking calendar with no limit on bookings or clients, booking confirmation and an e-mail reminder 48 hours in advance, a morning overview of the day at a time you choose (from 5:00 to 11:00) with a printable PDF for the whole week, and automatic review requests after verified online visits. It is not a trial period after which something switches to paid — the website footer only has a small “Made with Bienaro” link, and you can hide it with Rytmus.
How much does it cost when several of us work together?
399 Kč a month, and the price includes 2 active people in the team. Each additional one costs 100 Kč a month (1,000 Kč a year), but at most 990 Kč a month (9,900 Kč a year) in total – from 8 people it's a flat fee and we don't limit the number of people. Everyone has their own sign-in and their own calendar. Who in the team sees what: a team member manages only their own bookings, their own calendar and the waiting list (they see other people's appointments only in the “Whole business” overview and can't change them); the whole team the client records; only the owner revenue, statistics, settings and billing. The free Kalendář is for one person; a business with a team belongs in Rytmus and gets the first 30 days free. Do you each work for yourselves? Each of you creates your own free account, and you don't see each other's clients.
Is there a trial period?
Kalendář is free and it isn’t a trial version, so no countdown is running, and you can try Rytmus for 30 days for free right from the start – with your team too, with no limit on the number of people. You switch it on in the administration with one click when it suits you, or at the moment you add a second person to your team; the 30 days run from switching it on. You never enter a card and nothing is charged after the trial — you return to Kalendář: your data, clients and website stay, only you stay active (other team members are switched off but keep their data) and the premium template goes back to a basic one. We will remind you by e-mail a week in advance. You will find the details in the terms and conditions.
What is paid on top of the plan and how does invoicing work?
Only add-ons you choose are paid extra: your own domain, each additional team member above 2 (100 Kč a month, 1,000 Kč a year, at most 990 Kč a month in total), text messages beyond the plan from a prepaid credit (300 for 499 Kč, 500 for 749 Kč, 1,000 for 1,399 Kč), and printed materials on order — the whole printed kit by post for 1,490 Kč (1,000 appointment cards with a QR code alone for 990 Kč, 500 for 690 Kč). With your first paid Rytmus payment – monthly or yearly – you get a welcome kit of printed materials from us; we will bring it or send it. We register a new domain for you for 499 Kč a year and your business will be its holder; a domain you already have you keep paying for at your registrar. Bookings, clients, data export and templates are not charged extra. We don’t ask for your card: an invoice with a QR code and 14 days to pay comes for the plan, nothing is charged automatically and we switch on Rytmus once the payment arrives, usually within one working day.
Website and domain
How long it takes, what about the domain and what if you have no photos.
How long does it take until my website is ready?
The website is live at its own address free of charge within a few minutes of signing up: in a short guide you enter the business name and the industry, the price list and opening hours are prefilled for the industry and you just confirm them. You switch on online booking yourself once you have checked the price list and hours – until then the website shows the price list, opening hours and contact details. You then fine-tune services, prices, hours and texts whenever it suits you, and everything can be rewritten at any time. Nothing gets installed, you don’t deal with a domain or hosting and you need no IT skills: if you can write an Instagram post, you can do this. If you still get stuck somewhere, the administration has help and a “Report a problem” button — a person answers you, not a template.
Can I have my own domain?
Yes, your own domain is part of Rytmus. A domain you already have you connect at no extra charge – it stays registered to you with your registrar. We register a new one for you for 499 Kč a year: your business will be its holder, the domain is yours and you can transfer it elsewhere at any time. If Rytmus ends, the new domain runs until the end of the paid period and we do not renew it after that. We reply to your request within 2 working days and guide you through the setup; it starts working as soon as you change at your registrar what we send you. Without your own domain the website runs at your-name.bienaro.com, which is free and works exactly the same.
What if I don’t have any photos?
The website works without a single photo, and the gallery holds 24 of them once you have some. The templates are deliberately designed to work without images: they rely on typography, lines and your price list. You then upload photos from your phone whenever you like, and they appear on the website without any further setup. The free plan has 5 basic templates; Rytmus adds premium ones.
Can the website also be in Slovak, German or English?
Yes, a business website supports five languages — Czech, Slovak, German, English and Vietnamese — and languages beyond Czech are part of Rytmus. This is useful especially near the borders and wherever foreign clients come: the client switches the language themselves and search engines get the correct hreflang links. The administration speaks the same five languages, which is a different matter from the website language — each team member chooses the language there for themselves.
Does the website work on mobile and will search engines find it?
Yes — the website is designed from the phone up, and structured data (schema.org), a sitemap and robots.txt are generated for every page. Most bookings are made on mobile, so the booking calendar is built for the thumb, not the mouse. The business website also has a machine-readable llms.txt file with services, prices, opening hours and contact details — language models read it when someone asks them about your business.
Bookings and calendar
How a client books and what you do with it.
How does a client book — do they have to register?
No, a client doesn’t have to create an account or a password with us: they choose a service, day and time, leave their name and contact details, and the confirmation arrives by e-mail with a calendar attachment (without an e-mail, by SMS, if the business sends them). They can book from the website, from a link on Instagram or from a QR code on the card they get at the counter. They then see their appointments with the business in the “My appointments” overview – they sign in with a link or a code from the e-mail, or with a code from an SMS, without a password and without creating an account. Anyone who goes to several businesses can create an account at bienaro.com/moje with an overview of all their appointments and can also sign in to it with a password.
Can I also enter a client who phones in into the calendar?
Yes, manual entry is right next to the calendar in the administration and is included in the free plan too. You enter the time, service and name; if you have the client’s e-mail, they get the same confirmation and reminder as with a booking from the website. In the same place you manage opening hours, blocked times and exceptions — holidays, a closed day and even an hour’s lunch break are reflected in the available slots automatically and the client won’t see them in the form at all. Everything goes into one calendar, so two people can’t end up in the same hour.
What if I don’t want just anyone to book with me?
There are 3 booking modes and you switch between them with one tap: public booking for anyone, only for regular and invited clients, or a website with no booking at all. Public bookings and a website without bookings are included in the free plan; the “regular and invited only” mode — where a client gets into the calendar via an invitation, a password or a secret link — is part of Rytmus. Your own calendar, manual entry and moving appointments work the same in all three modes: only self-service from the outside is closed.
Does it connect to my Google or Apple calendar?
Subscribing to your appointments in Google or Apple Calendar is free — you take the link in the settings and see the appointments on your phone. The other direction, where events from your personal calendar automatically turn into blocked times in Bienaro, is part of Rytmus. If you prefer paper, you print the morning overview of the day or a PDF of the whole week.
Clients, reminders and vouchers
What Bienaro sends for you and what you can do with it at the counter.
Does it send reminders to clients? Are there text messages too?
An e-mail reminder is sent even on the free plan, 48 hours before the appointment — that is a full day before the client’s cancellation deadline ends (with the default deadline of 24 hours), so they can still cancel online and you can offer their slot to someone else. A booking made only after that window still gets a fallback reminder 6 hours before the cancellation deadline ends (30 hours in advance with the default deadline; at night, already the evening before); anyone who books even later gets it a day in advance. You don’t have to set anything for it. This reminder is fixed and is sent until the business switches it off in the settings — with Rytmus you can add one more time of your own from 2, 4, 8, 12, 24, 48 or 72 hours in advance, for example on the morning of the appointment for long visits. Text message reminders (and booking confirmations for clients who didn’t give an e-mail) come with Rytmus: 50 SMS a month included, more from prepaid credit from 1.40 Kč per SMS (a long message counts as several SMS), sent to Czech, Slovak and Austrian mobile numbers. Without credit no SMS are sent; e-mails keep going out.
Will Bienaro contact the client by itself when it’s time for the next appointment?
Yes, that is what Rytmus does: usually the day after a visit from an online booking (after an evening visit, the morning of the day after that) it offers the client up to three free slots around the day they should come again, and if they don’t choose, it sends a reminder before their interval ends. The interval depends on the service — by default barber 21 days, women’s cut 42, colouring 35, beauty and nails 28, massage 28 — and from the third regular visit on it follows how the client actually comes, so someone who comes every five weeks gets an offer based on five. It writes only to clients who have booked with you online at least once and haven’t declined being contacted; it doesn’t write to clients entered manually or imported. Anyone who already has their next booking gets neither the offer nor the reminder. The reminder comes at most once every 7 days, the client can unsubscribe from it with one tap, and you see in the statistics in the administration how many clients Rytmus reached and how many bookings came of it.
What happens when you’re fully booked — is there a waiting list?
Yes, the waiting list is part of Rytmus. Anyone who can’t find a free slot on the website leaves their contact details and the days that suit them; as soon as a suitable slot frees up on those days, an e-mail is sent to them automatically — an offer goes to at most 10 people waiting at once, at most 3 offers a day per entry and none between 21:00 and 8:00, so that help doesn’t turn into a nuisance. This cap is different from Rytmus reminders: the client asked for the waiting list offers themselves. An entry doesn’t hold the slot: the booking goes to whoever clicks first. You don’t pick up the phone or write a name on a scrap of paper — in the administration you see the list of people waiting and can offer them a slot manually too.
Does it handle gift vouchers?
Yes, gift vouchers are part of Rytmus — always for a specific service from your price list, and you can issue up to 100 at once. A voucher covers that service in full even if you have raised your prices in the meantime; it can also be redeemed for another service with the difference paid to you on site, and if you don’t want that, you switch the option off when issuing. You sell the voucher (at the counter, by bank transfer), Bienaro keeps track of the codes and whether they have been redeemed: you print them as a PDF in A6 or one-third-A4 format along with a list of codes to tick off. You issue the tax receipt, not us — the payment for a voucher doesn’t go through us.
Switching from another system
Clients, appointments already arranged and what doesn’t come along.
How do I move clients over from another booking system?
You upload a CSV with a header in UTF-8, at most 2,000 rows and 1 MB, and first you see a preview — how many clients will be created, which rows we skip and why. Only then is anything saved. We look for the name, phone and e-mail columns; columns named differently you rename in a spreadsheet editor and save again as “CSV UTF-8”. We take only Czech, Slovak or Austrian mobile phone numbers; the import skips a row with any other number and the preview lists it. Download the export from your current service before you sign up anywhere — it is your data, whether you finish the switch or change your mind.
What about appointments I already have arranged for next month?
The Switching guide in the administration offers 3 ways for them: type the appointments in day by day in a quick form, upload a booking export from the old service, or paste a link to a shared calendar in ICS format. But it starts with the most important thing — you give the date from which you take online bookings, and until then the website shows your phone number instead of the calendar. The preview then tells you what overlaps with what you already have in the calendar, and only then is anything saved. Without this step the website would offer an hour for which someone is already coming.
What isn’t transferred when switching?
We don’t transfer history — past and cancelled appointments —, client notes or marketing message settings: we don’t take those from the imported file, and before you start approaching clients with offers, check on what basis you are allowed to. Our import also doesn’t take the price from the file; it takes the price and length of the appointment from your price list with us. Keep the history in the downloaded file; keep the old account, just switch off new bookings in it on the day of the switch. We transfer client contacts (name, phone, e-mail) and future appointments; phone numbers only if they are Czech, Slovak or Austrian mobile numbers – the import skips a client with any other number, and such a number is not transferred with an appointment.
Data, GDPR and security
Whose client data it is, where it is stored and how you take it with you.
Who owns the client data and can I get it out?
The client data is yours and export is free on every plan, including the free Kalendář. You download clients and visit history in the open CSV format; you can request an export at any time, we prepare the file only after 72 hours have passed since the request, and it requires two-factor authentication. That delay isn’t stalling but protection: if a stranger requested the export, you have 72 hours to notice and cancel it. Reviews are not in the export. If you just stop paying for Rytmus, the website, clients and reviews stay in the free Kalendář; if you close the business, after a cooling-off period we delete its data including reviews.
Where is the data stored and do you have a data processing agreement?
The booking database and its backups are stored on servers in Germany (EU), and we conclude a data processing agreement under Article 28 GDPR with you right at sign-up — you don’t have to ask for it or sign it separately. Where and with whom e-mails, network protection, error diagnostics and other services run is described in the privacy policy, category by category. In relation to your clients you are the controller and we are the processor. The agreement is public, so you can read it before you set anything up.
How do client consents work and what are we allowed to send them?
Clients receive messages in 4 situations. Booking messages — confirmation, reminder and change of appointment — belong to the booking. The client asks for the waiting list and for watching for an earlier slot themselves and unsubscribes via a link in the message. The review request after a completed online booking and the offer of a next visit (Rytmus) are part of the booking terms — anyone who doesn’t want them ticks the box “Do not contact me when it is time for my next visit.” on the form, and they can also unsubscribe via a link in every such message. Last-minute free slot offers go only to those who tick them when booking. A client receives next-visit and last-minute offers at most once every 7 days, and they are not sent at night between 21:00 and 8:00. Bienaro records for every choice when and on what basis it was made.
Who it is for
What Bienaro is, the industries it is written for, and using it on your phone.
What is Bienaro?
Bienaro is a system for salons, studios and wellness in Czechia; the Kalendář plan is free, with no card and no limit on bookings or clients. In one place you get a website with a price list and online booking, a calendar with manual entries and blocked times, client records with visit history, e-mail confirmations and reminders, and a morning overview of the day. Your clients book without registering – from the website, a link or a QR code. The paid Rytmus plan adds a team, SMS, offers of the next visit, a waiting list and gift vouchers.
Is it suitable for a barbershop, nail studio, beauty salon or massage?
Yes — Bienaro has these industries ready: hair salon, barbershop, massage, beauty salon, nail salon, pedicure, personal trainer and tattoo studio. Each has its own set of services and typical website questions, and Rytmus knows the usual return interval (barber 21 days, women’s cut 42, colouring 35, beauty and nails 28, massage 28); for training sessions you set the frequency yourself, and tattoos have no default interval. If you do something else, you can set up too — you just fill in the price list yourself instead of choosing from the list.
Is there a mobile app?
Yes, as a web app (PWA), with nothing to download from the App Store or Google Play: you add the administration to your phone’s home screen and it opens like any other icon — it is built for the thumb and works on a small display too. Your clients don’t have to install anything: they book in the browser from a link or a QR code.
Anything left unanswered?
Write to us — a person replies, not a template. And if you just want to try it, setting up is free: you have your website in a few minutes and can see for yourself whether it’s for you. You switch on Rytmus for 399 Kč a month in the administration whenever you want.
