Moving data from Reservio
Switching from Reservio? This is how you move your bookings and clients.
Two screens, two files and a preview where you see what will be saved before anything is stored. The guide tells you where to click to export in Reservio, how to upload it with us and what gets transferred and what doesn’t.
- Free
- No limit on bookings or clients
- Import of contacts and future appointments
This guide was prepared independently by Bienaro. It is not issued or approved by the operator of the Reservio service. We use the name to identify the service from which you can move your data.
Where to click
Download your data before you sign up anywhere. It is yours, whether you finish the switch or change your mind. We last checked the menu paths on 25. 9. 2026 against Reservio’s help article on data export; if their menu has changed, their help applies.
Clients to CSV
In Reservio (in a browser on a computer) open the “Klienti” (Clients) tab, click the three dots in the top right and choose export to CSV. A file with names, phone numbers and e-mails is downloaded. Don’t open it in Excel, not even “just to have a look” – the diacritics can break when it is saved.
Bookings to XLSX
The booking export in Reservio is under “Nastavení → Statistiky” (Settings → Statistics) behind the download icon: you choose a period and an XLSX file with the service, time, price and notes is downloaded. For the import, open it in a spreadsheet editor and save it as “CSV UTF-8”.
Or a calendar link (ICS)
In the calendar open “Synchronizovat rezervace s jinými kalendáři” (Sync bookings with other calendars) and switch on “Sdílej kalendář” (Share calendar). You get a link that you paste with us into the “Paste a link to an ICS calendar” field – we download it ourselves and you don’t convert anything.
As of October 2026 – if the interface has changed, let us know.
How to switch
- 1
Download your data
Before you sign up anywhere. You download clients from the “Klienti” (Clients) tab (three dots → CSV), appointments from “Nastavení → Statistiky” (Settings → Statistics, XLSX) or via a link to a shared calendar. Keep the files saved even once you are done – they are your backup and the only place with the visit history.
- 2
Sign up for Bienaro
You sign up and, in the business setup guide, paste the address of your current booking page into the “Link to your business” field – from the public Reservio page we take the whole price list including descriptions, prices and lengths of services, the opening hours, phone number and address. You will see everything in the next steps and nothing is saved without your confirmation. The website, price list and opening hours then run at your-name.bienaro.com; you switch on online booking whenever you want. Nobody asks for your card.
- 3
Client import in the admin
In the admin open Client import and upload the downloaded CSV. First you see a preview – how many clients will be created, which rows we skip and why. Only then is anything saved.
- 4
Move your arranged appointments
The clients are in Bienaro, but next month’s bookings are still only in the old system. The Switching guide can hold online booking until a chosen day (meanwhile the website shows your number), type the appointments in day by day in a quick form, or import them from a booking export or a calendar link. Without this step the website will offer you an hour for which someone is already coming.
- 5
Switch over in one moment
On the day of the switch, first turn off new online bookings in Reservio. Right after that, download a fresh export of future appointments and upload it – whatever is already with us, the preview shows as a conflict and doesn’t save again. Only then switch on accepting online bookings in the guide. That way two sets of available slots never run at the same time.
You will find the guide in the admin under Settings → Switching guide, at /admin/prechod. Clients don’t have to learn anything: they book from the link you send them.
What gets transferred
We transfer
Contacts: from the client export the name, phone and e-mail. We take only Czech, Slovak or Austrian mobile phone numbers; the import skips a client with any other number, and such a number is not transferred with an appointment – the preview lists it. Future appointments: from the booking export (or the calendar link) the date, time, client name, service and staff member. Our import doesn’t take the price from the file: the appointment gets the price and length of the service from your price list in Bienaro. If you agreed a different price or a longer time for some appointment, check it in the calendar after the import.
We don’t take over marketing message settings
We don’t take over marketing message settings from the imported file. Before switching them on, check on what basis you may contact those clients. Booking messages (confirmation, reminder) are sent as usual.
We don’t transfer visit history and notes
You start keeping the calendar with us from the date you switch – that is why the saved export comes in handy if someone asks when they were last with you. A note with us belongs to a booking, not to a client, so there is no place for it in a foreign file; the import preview still tells you how many there were in the file.
We don’t transfer past and cancelled appointments
They tend to be in the export and would only block hours that can be booked. The preview lists them so you know what wasn’t saved.
We expect the file as a CSV with a header in UTF-8 (appointments also as an ICS calendar link), at most 2,000 rows and 1 MB. The preview is the last place where mistakes are cheap to fix – read it.
Common questions about switching
What about appointments I already have arranged for next month?
Those from the old system won’t come over by themselves – nobody from outside can see into your calendar. The admin has the Switching guide for this, and it starts with the most important thing: you give the date from which you take online bookings, and until then the website shows your phone number instead of the calendar. Meanwhile you either type the appointments in day by day (a ten-row form: time, name, phone, service), upload a booking export from Reservio, or paste a link to a shared calendar. The preview tells you what overlaps with what you already have in the calendar, and only then is anything saved. Your own entries in the calendar are not restricted in any way, even on days when the website is silent.
What format should the file be in?
CSV with a header in UTF-8 encoding, comma or semicolon as separator, at most 2,000 rows and 1 MB. For clients we look for the name, phone and e-mail columns; rename differently named ones in a spreadsheet editor and save again as “CSV UTF-8”. Split a larger database into two parts. Save an XLS or XLSX file (the format Reservio exports bookings in) as CSV first. For appointments a link to a calendar in ICS format also works.
Will I lose the visit history?
We transfer two things: client contacts (name, phone, e-mail) and future appointments; phone numbers only if they are Czech, Slovak or Austrian mobile numbers. We don’t transfer history – past visits, cancelled appointments and client notes – so keep the downloaded exports saved and feel free to keep the old account open for a while, just with new bookings switched off. Rytmus learns each client’s intervals from the visits that take place with you; until it has collected a few, it follows the default intervals for your industry.
What if several of us work in the salon?
The free Kalendář is for one person. A team, i.e. several people, each with their own sign-in and their own calendar, is part of Rytmus for 399 Kč a month or 3,990 Kč a year – and that price includes 2 active people in the team. Each additional one costs 100 Kč a month (1,000 Kč a year), at most 990 Kč a month in total. You can start for free and switch on the plan whenever you want – neither the data nor the website changes.
How much does it really cost?
Kalendář 0 Kč, no card and no limit on bookings or clients. Rytmus 399 Kč a month or 3,990 Kč a year, with 2 active people in the team included. Each location has its own account and its own plan. Final price, we are not VAT-registered. Only add-ons you choose are paid extra: your own domain (we register a new one in your business’s name for 499 Kč a year – without it the website runs at your-name.bienaro.com), each additional team member above 2 for 100 Kč a month (1,000 Kč a year, at most 990 Kč a month in total), text messages beyond the plan from a prepaid credit and printed materials on order (see the next question). Nothing is charged automatically: an invoice with a QR code arrives.
Can I order printed appointment cards and business cards from you?
Yes. With your first paid Rytmus payment you get a welcome kit of printed materials with a QR code; you can order more for a fee in the administration under Materials, even on the free Kalendář: the whole kit by post (1,000 appointment cards with a booking QR code and 250 business cards in your website’s colours) for 1,490 Kč, 1,000 appointment cards for 990 Kč or 500 for 690 Kč. We don’t send stickers for the counter and the shop window or the card for the stand – you download them as print-ready PDFs and print them yourself whenever you like, just like all the other materials.
Can I go back?
Yes. You can export clients and visit history for free in a machine-readable format – you can request it at any time, and we prepare the file only after 72 hours have passed, because we protect your clients both with two-factor authentication and with that delay. Reviews are not in the export. If you just stop paying for Rytmus, the website, clients and reviews stay in the free Kalendář; if you close the business, after a 14-day cooling-off period we delete its data including reviews. The database and its backups are on servers in the European Union (Germany) and we conclude a data processing agreement with you right at sign-up. Keep the old account open for as long as it takes until you are sure – nobody makes you burn bridges on day one.
You can try it side by side.
Setting up is free, so you can get Bienaro running and try it before you cancel anything in your old system.
You will find the full pricing on the home page. A detailed step-by-step guide is also in the article about switching from Reservio (in Czech); after signing in you will find the same in the help. Switching from somewhere else? We also have a guide to moving from Booqme.
